This Privacy Policy explains how Aidavo ("we", "us", or "our") collects, uses, stores, discloses, and protects personal information when you access or use Ultraphone (the "Service"). It also describes your rights and choices regarding your information. We are committed to protecting your privacy and handling your personal information lawfully, fairly, and transparently. By using the Service, you acknowledge that you have read and understood this Privacy Policy and agree to the practices described in it, in conjunction with our Terms and Conditions. If you do not agree with this Privacy Policy, please do not use the Service. This Policy applies to information we collect through the Service, and it does not apply to third-party websites, applications, or services that may be linked from or integrated with the Service.
2. Information We Collect
We collect several categories of information. First, we collect information you provide directly, such as your mobile phone number, your name, your business or organisation details, team member information, and any preferences or configuration choices you make within the Service. Second, we collect information that is generated through your use of the Service, including call recordings, voicemails, transcripts, extracted lead information such as names, phone numbers, and requirements, messages and notes you add, and usage data such as log files, timestamps, features used, pages visited, and device information such as browser type, operating system, and approximate location. Third, we may collect information about the individuals who call the business numbers you connect to the Service, including their phone numbers and the content of their calls, which you are responsible for disclosing to them as required by law. Fourth, we may collect information from third parties, including telephony carriers, messaging providers, and integration partners, where you authorise such collection.
3. How We Use Your Information
We use the information we collect to provide, operate, and maintain the Service, including recording and transcribing calls, extracting and organising lead information, delivering analytics and insights, and enabling team collaboration. We also use your information to authenticate you and secure your account, to send you transactional communications such as one-time passcodes and service notifications, to provide customer support and respond to your enquiries, to detect, prevent, and address fraud, abuse, and technical issues, to comply with legal obligations, and to enforce our Terms and Conditions. We may also use your contact information to send you administrative messages, and, where you have consented or where permitted by law, to send you information about features, products, and offers that we believe may be of interest to you. You may opt out of marketing communications at any time by following the unsubscribe instructions in the message or by contacting us.
4. How We Use Data to Improve the Platform
One of the reasons we are able to offer automated transcription, extraction, and analytics is that we continuously work to improve the underlying machine-learning and speech-processing systems that power the Service. To do this, we may use the content that you and your callers submit to or generate through the Service, including call recordings, transcripts, extracted lead data, and related feedback, to train, tune, evaluate, and improve our speech-recognition, language, extraction, and analytics models; to measure and improve the accuracy and quality of the Service; to develop new features and products; and to conduct internal research, benchmarking, and quality assurance. Where reasonably practicable, we will de-identify or aggregate such data before using it for these purposes so that it cannot reasonably be associated with you or any identified individual, and we will not sell your raw call recordings or transcripts to any third party. Where applicable law requires a legal basis for such processing, we rely on your consent and on our legitimate interests in developing and improving our products, and you may withdraw your consent or object to such processing at any time as described in Section 11 of this Policy. You understand that, because machine-learning models learn from patterns across large datasets, individual data points generally cannot be deleted from a trained model, though we will delete underlying data in accordance with our retention practices.
5. Call Recordings, Transcripts and AI Processing
When you enable call recording, calls to the business numbers you configure are recorded and processed by automated systems, including third-party artificial-intelligence services, to generate transcripts and structured data. You are responsible for providing any notice to, and obtaining any consent from, call participants that is required by applicable law, and for ensuring that your use of this feature is lawful in every jurisdiction in which you or your callers are located. We process call recordings and transcripts on your behalf in order to provide the Service, and we retain them only for as long as necessary for the purposes described in this Policy. Call recordings and transcripts are treated as your content under our Terms and Conditions, and we do not disclose them to third parties except as described in this Policy.
6. Legal Bases for Processing
Where we process personal information subject to the General Data Protection Regulation or similar data-protection laws, we do so on the following legal bases: the performance of our contract with you, such as providing the Service and authenticating your account; our legitimate interests, such as securing and improving the Service, preventing fraud, and conducting analytics, provided those interests are not overridden by your rights and freedoms; your consent, such as for optional marketing communications or where consent is required for call recording; and compliance with legal obligations, such as responding to lawful requests from authorities. Where processing is based on consent, you have the right to withdraw your consent at any time, without affecting the lawfulness of processing carried out before withdrawal.
7. How We Share Information
We may share your information with service providers and processors who perform services on our behalf, such as telephony carriers, messaging providers, cloud-hosting providers, artificial-intelligence processing providers, and analytics providers, and who are bound by contractual obligations to protect your information and use it only as necessary to provide those services. We may share information with third-party integrations that you explicitly enable, such as a CRM platform, in which case the information is shared at your direction. We may disclose information if required to do so by law, regulation, or legal process, or if we believe in good faith that disclosure is necessary to protect our rights, property, or safety, or the rights, property, or safety of others. We may also share aggregated or de-identified information that cannot reasonably be used to identify you. In the event of a merger, acquisition, financing, or sale of all or part of our business or assets, your information may be transferred to the successor entity, subject to this Privacy Policy.
8. Data Retention
We retain personal information only for as long as is necessary to fulfil the purposes described in this Policy, unless a longer retention period is required or permitted by law. The specific retention period depends on the type of information and the purposes for which it is processed, and includes the period during which your account remains active and a reasonable period thereafter to comply with legal obligations, resolve disputes, enforce our agreements, and maintain the security and integrity of the Service. Call recordings and transcripts may be retained for a shorter period in accordance with our standard data-retention schedules. When information is no longer needed, we will delete or anonymise it, except that information incorporated into trained machine-learning models may persist in aggregate form as described in Section 4 of this Policy.
9. Security
We use a combination of administrative, technical, and physical safeguards designed to protect the personal information we process against accidental or unlawful destruction, loss, alteration, and unauthorised disclosure or access. These measures include, where appropriate, encryption of data in transit and at rest, access controls, and regular review of our security practices. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee the absolute security of your information. You are responsible for maintaining the security of your account credentials and for ensuring that your devices and network connections are secure.
10. International Data Transfers
We are based in India, and our service providers may be located in India and in other countries around the world. As a result, your personal information may be transferred to, and processed in, countries other than the country in which you are located, including countries that may have data-protection laws that differ from those of your jurisdiction. 12. Children's Privacy
The Service is intended for business users and is not directed to individuals under the age of eighteen (18). We do not knowingly collect personal information from children, and we do not knowingly allow children to create accounts. If you become aware that a child has provided us with personal information, please contact us, and we will take steps to delete that information from our systems in accordance with applicable law. If we learn that we have inadvertently collected personal information from a child, we will take appropriate measures to delete it.

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors.
